Business Process Management: Is There Any Software That Allows Me to Monitor the Compliance of Procedures?

What is Business Process Management (BPM)?

Business Process Management (BPM) software is a tool that allows an organization to monitor compliance with business processes and procedures. BPM tools allow for monitoring:

  • Process flow;
  • Correct identification of process participants;
  • Communication methods between participants
  • The flow of information between process participants and
  • Adherence to time frames.

Purpose and Benefits of BPM

  • Identify what the organization should do and how to do it.
  • Enables organizations to align the activities necessary to support a business process.
  • Recognize that we don’t create all processes equally.

Some processes are more important than others, which should have a higher priority when considering resource allocation.

In addition, there may be opportunities for improving efficiency in certain processes if we can combine these activities with other processes to eliminate duplicate activities or redundant steps within a process.

There may also be opportunities for reducing the time needed to complete a process by removing unnecessary steps or reducing wait times through faster delivery of information between participants in a process.

Instead of having to receive orders from a manufacturer through an inventory manager and then forward them on to another employee (who needs to correct any customer information that may exist), organizations can use technology that allows them to receive orders directly from customers via EDI and then forward this information directly on to the manufacturing process.

  • The identification of business processes can help to identify the potential for using technology to streamline business processes.

Organizations can use technology to automate processes that involve manual entry of data into a computer system, or they can use technology to create and manage a process with no human intervention.

  • Identifying business processes allows organizations to develop standards mandatory for the correct execution process.

These standards may include communication methods, the time frames involved in completing steps within a process, and specific tasks that each participant must complete in a process.

In addition, we can use these standards as part of an overall quality management program.

Issues in BPM

There are several issues we associate with implementing BPM:

• Lack of BPM knowledge and skills

There is currently a lack of BPM skills within organizations, which may make it difficult for organizations to implement effective BPM solutions.

Although many vendors provide products and services related to BPM, there are not enough qualified people who know how to properly use these tools and apply them effectively within an organization.

• Data standardization

Many organizations have poor data management practices or do not have a standard way of entering and storing data.

For example, some organizations may use different codes to identify the same process, or there may be inconsistencies in how they describe a particular process.

The lack of standardized data can make it difficult to use BPM software effectively.

• Lack of process discipline

For BPM software to be effective, there must be some level of process discipline within an organization.

When there are many processes in several departments, it’s difficult to identify core processes they need to manage and align with business goals.

• Cost of BPM

Business Process Management is a relatively new technology, and many vendors provide products and services related to BPM. This wide range of options makes it difficult for organizations to determine which product or service is right for them.

Organizations may also find that the cost associated with implementing BPM software is too high when compared with the benefits that they will receive from using this technology.

Although many vendors provide products and services related to Business Process Management (BPM), it is possible to select a single BPM solution that meets the needs of an organization. To make this decision, organizations should consider the following:

• Standardization of data

For a BPM solution to be effective, there must be some level of standardization within an organization. Organizations should develop standard data definitions for each process the BPM solution manages.

This standardization can include the codes used to identify processes, as well as descriptions of each process.

• Number of processes

We should consider the number of processes a BPM solution needs to manage when making this decision.

Although it may seem easier and less expensive to manage fewer processes with a single BPM solution, it may not always be practical or necessary for an organization to manage all business processes in this manner.

• Complexity of processes

An organization’s ability to implement and use a BPM solution effectively will depend on the complexity of its business processes.

Organizations that have many complex and interrelated business processes may find it more difficult to use a single BPM solution. These types of organizations are likely to spread across multiple departments and managers who do not communicate with each other or work together as a team.

• Technology

We should consider the level of technology available within an organization when making this decision.

Organizations that have an extensive amount of technology, such as electronic data interchange (EDI) systems, may find it easier to implement a BPM solution that relies on technology to manage business processes.

• Budget

We should consider the budget available for implementing a BPM solution when making this decision.

Organizations that do not have enough funding to implement a BPM solution may find it more practical to implement a BPM solution that relies on manual process models instead of relying on technology to manage business processes.

Implementation Considerations

We must consider several implementation options when implementing a Business Process Management (BPM) solution:

• Technology implementation

Implementing the hardware and software necessary for managing business processes can be time-consuming and costly.

It is important to consider the level of technology currently available within an organization, as well as the current plans for introducing new technologies into the organization, before deciding which type of workflow management is right for an organization.

In addition, operations teams should consider whether there are qualified people who know how to properly use the technology and apply it effectively within an organization.

• Number of BPM solutions

Many vendors provide products and services related to Business Process Management (BPM). Organizations should select a single BPM solution that meets the needs of the organization, instead of implementing multiple BPM solutions.

This can be difficult for organizations that have multiple project management spread across multiple departments with managers who do not communicate with each other or work together as a team.

• Implementation time

The time needed to implement a Business Process Management (BPM) solution can vary widely, depending on the size and complexity of an organization’s business process management systems.

It is important to consider the current level of process discipline within an organization, as well as the number of resources available for implementing a business process management tool, before deciding which type of BPM solution is right for an organization.
