What Can You Do With SharePoint Workflow?

First published: March 27, 2022 @ 6:00 pm

SharePoint Workflow has become an important feature in many organizations. People widely use it for business process automation and workflow management.

But it is also used to provide a variety of different services, such as information management, data mining, electronic commerce, collaborative workflows, and so on.

SharePoint Workflow provides the following features:

Business Process Support

Workflows can manage common business processes within an organization. It is possible to attach business logic to documents or items in a SharePoint list or library.

Business logic is basically a set of instructions that describe and control what happens to a document or item.

We can link workflows to Microsoft Office Outlook e-mail attachments and external e-mail applications.

For example, we use this feature to automatically transfer a document from a user’s Outlook Inbox to a SharePoint library.

We can also link workflows to Outlook 2007, Outlook 2010, and Windows Live Messenger chat.

We can create workflows for each calendar event in the Office Outlook calendar application.

It can also work as an external system event that is triggered by any other system event (for example, for an e-mail sent from an e-mail client).

For example, this feature is used to monitor a transaction made on the external system.

Automation

Workflows can manage tasks in Outlook.

For example, this feature is used to create a workflow that manages to send a fax to another fax machine.

We can also create workflows for Outlook actions that are not directly related to a business process.

For example, this feature is used to manage an e-mail account by setting the automatic reply message that is sent when an e-mail is received.

Extensibility

Workflows can be created by using a scripting language.

For example, we use this feature to automatically send an e-mail to an external application.

In addition, it can create a workflow that sends an e-mail message to a third party.

We can pair all these new platforms with PowerApps and Flow to easily create custom workflows and add new solutions to the environment.

Workflows can also be created by using the Visual Studio 2005 tool.

Standard Workflow Templates

SharePoint Workflow provides several pre-defined standard workflow templates that can manage a variety of different workflows.

For example, this feature is used to create a standard work item tracking workflow for a SharePoint list.

And this feature is also used to create a calendar event workflow for an external system.

Advanced Workflow Templates

This feature is used to create a variety of advanced workflows, such as a workflow that tracks an external process or a custom workflow.

Either use one of the pre-built flows or use one of the pre-built flows to build your own flows.

Integration with External Systems

SharePoint Workflow can integrate with other external systems.

For example, we use this feature to automatically synchronize an item in SharePoint with an item in a database.

It can also integrate with other external systems, such as a customer relationship management (CRM) system.

In conclusion, SharePoint Workflow is an important feature in SharePoint that can automate business processes and perform a variety of different tasks.

SharePoint Workflow does not provide any feature that is not related to the concept of workflow, so there are many features in SharePoint that can build more advanced workflows.
